Aerobility Film and Photography Policy
1. Introduction
Aerobility is committed to ensuring that all film and photography activities conducted within its facilities, events, and programs respect the privacy, dignity, and safety of participants, staff, and visitors. This policy outlines the guidelines for capturing, using, and sharing film and photographic content at Aerobility.
2. Purpose
The purpose of this policy is to:
· Protect the rights and privacy of individuals featured in photographs and videos.
· Ensure the appropriate use of media for promotional and educational purposes.
· Comply with data protection laws and safeguarding policies.
3. Scope
This policy applies to all staff, volunteers, participants, visitors, and third parties engaged in filming or photography at Aerobility facilities or events.
4. Permissions and Consent
Prior written consent must be obtained from individuals (or their legal guardians if under 18) before capturing or using their image.
Consent may either be from selecting acceptance in an electronic form (e.g. the Participant Information Form), or a general media consent form provided to participants at registration or event sign-up.
Individuals have the right to withdraw consent at any time, and their images will not be used in future materials.
5. Usage and Distribution
Film and photography may be used for marketing, fundraising, educational materials, social media, and media outreach.
Any use beyond the agreed purpose requires additional consent.
External media professionals must seek approval from Aerobility before filming or photographing within the premises.
6. Storage and Security
All media files will be securely stored and accessed only by authorized personnel.
Personal data protection measures will be applied in accordance with GDPR regulations.
7. Restrictions
No unauthorized filming or photography is permitted in sensitive areas or during private sessions.
Participants must not be filmed or photographed in a way that could be misleading or misrepresent their involvement with Aerobility.
8. Enforcement and Compliance
Any concerns regarding film and photography should be reported to the Aerobility management team.
Aerobility reserves the right to remove or request the deletion of any unauthorized media.
Breaches of this policy may result in removal from the premises or further action as necessary.
